Introduction
SalesOps ("we", "us", "SalesOps") is a sole proprietorship based in Sudbury, Ontario, Canada. We provide a business-to-business CRM and outside-sales productivity platform. This Privacy Policy describes how we handle personal information in connection with the SalesOps platform, our marketing website, and our support and business operations.
SalesOps designs its privacy program with reference to applicable Canadian and international privacy principles, including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), the EU and UK General Data Protection Regulations, applicable US state privacy laws, and the Australian Privacy Principles.
Scope
This policy covers:
- Individuals who register for, administer, or use a SalesOps workspace ("Users").
- Business contacts whose information is entered into a customer's workspace ("Contacts").
- Visitors to our marketing website.
- People who contact SalesOps for support, sales, or partnership discussions.
Who SalesOps is
SalesOps is a sole proprietorship operating from Sudbury, Ontario, Canada. Our governing jurisdiction is Ontario, Canada. You can reach us at info@salesops.ca.
Roles of SalesOps and its customers
When our customers use the SalesOps platform to process information about their own contacts, leads, employees, or business relationships, SalesOps generally acts as a service provider or processor on that customer's behalf. The customer is the party that decides what information to enter, how long to keep it, and how it will be used.
SalesOps acts as an independent organization or controller for information we collect directly, such as account and billing information, marketing website usage, support communications, and business-development information.
Information we collect
Information customers submit. Company records, contacts, deals, notes, tasks, uploaded files, business-card scans, and other CRM content.
Account and profile information. Name, work email address, workspace role, authentication metadata, and preferences.
Billing information. Billing contact details and payment metadata (processed by our payment providers; SalesOps does not store full card numbers).
Sales activity and CRM content. Visits, calls, meetings, quotes, follow-ups, and notes submitted by Users.
Contact and company data. Contact and company records Users maintain in their workspace.
Uploaded files and business cards. Files, photos, and business-card images Users choose to attach.
Device, browser, and log information. IP address, browser and device type, referring URL, timestamps, and diagnostic events.
Support communications. Messages, attachments, and metadata associated with your support requests.
Location information
Location information is only collected when a User intentionally submits a location-enabled visit or invokes a location-dependent feature. SalesOps does not continuously track employees. Managers do not receive continuous live-location monitoring through SalesOps.
A submitted location record may remain attached to the corresponding business activity (for example, a logged visit). Customers are responsible for providing any required workplace notices and obtaining any employee consent required by applicable law.
AI input and output
When a User invokes an AI-assisted feature, only the information required for that feature is transmitted to an approved AI provider. SalesOps does not sell customer workspace data, does not use one customer's confidential workspace data to train models for another customer, and does not use customer content to train a shared SalesOps model unless the customer has expressly agreed in writing.
How information is used
- To provide, secure, and improve the SalesOps platform.
- To authenticate Users and administer workspaces.
- To process billing and financial records.
- To respond to support, sales, and partnership inquiries.
- To send transactional and, with appropriate consent or lawful basis, marketing messages.
- To detect and prevent fraud, abuse, and security incidents.
- To comply with legal, regulatory, and contractual obligations.
Legal bases (where applicable)
Where GDPR or UK GDPR applies, we rely on one or more of: performance of a contract, our legitimate interests, compliance with a legal obligation, and — where required — consent.
How information is disclosed
- To authorized workspace administrators and members within the customer's workspace.
- To subprocessors that provide infrastructure, AI, email, mapping, payment, and hosting services.
- To professional advisors, insurers, and regulators where required.
- In connection with a merger, acquisition, financing, reorganization, or asset sale (see Business transfers below).
- Where legally required or to protect rights, safety, and security.
Subprocessors and cross-border processing
SalesOps engages a limited number of vetted subprocessors. The current list is maintained at /legal/subprocessors. Cross-border processing may occur; privacy protections may differ by jurisdiction.
Data residency
The primary SalesOps database region is Germany. Information may be processed in other jurisdictions by authorized subprocessors. SalesOps does not guarantee country-specific data residency unless expressly stated in a signed agreement.
Retention
We retain personal information while needed to provide the service, comply with legal obligations, resolve disputes, and enforce agreements. Customer account information may be retained for up to one year after termination, subject to the applicable agreement and legal obligations. Standard infrastructure backups are generally retained for approximately one month.
Deletion
Authorized workspace administrators may export data and request permanent deletion. Records approved for permanent deletion are removed from active production systems as promptly as reasonably possible. Backup copies may remain until the applicable backup expires. Deletion may be delayed where retention is legally required, necessary to resolve disputes, protect security, or enforce agreements.
Security
SalesOps uses layered security controls appropriate to a cloud-based B2B sales platform. No system can be guaranteed to be completely secure; where required by law or contract, SalesOps intends to notify affected customers without unreasonable delay of confirmed security incidents.
Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to processing of your personal information; to withdraw consent; to portability; and to lodge a complaint with a privacy regulator. Submit requests to info@salesops.ca. We may need to verify your identity and may be required to limit certain requests where law permits or requires.
Canada (PIPEDA). Access, correction, and withdrawal of consent.
EU, EEA, and UK. Access, rectification, erasure, restriction, portability, objection.
US state privacy laws. Rights vary; SalesOps does not sell customer workspace data.
Australia. Access and correction under the Australian Privacy Principles.
Sensitive information
SalesOps is not designed to store, and Users should not upload:
- Medical records or health diagnoses.
- Payment-card numbers or bank credentials.
- Government identification numbers.
- Criminal-record information.
- Biometric templates.
- Passwords for third-party systems.
- Highly sensitive employee files.
- Information collected unlawfully.
Children and age restrictions
SalesOps is intended for business use by adults. Users must be at least 18 years old.
Business transfers
SalesOps may review, share, or transfer information in connection with financing, investment, a merger, acquisition, reorganization, asset sale, due diligence, or insolvency transaction, subject to reasonable confidentiality and applicable legal protections.
Legal disclosures
We may disclose information to comply with law, respond to lawful requests from public authorities, enforce our terms, or protect rights, safety, and security. See our forthcoming Law-Enforcement Request Policy for more detail.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date and, where appropriate, notify workspace administrators.
