Principles
- Keep information for as long as it is needed to provide the service.
- Keep information longer only where required by law, needed to resolve disputes, or needed to protect the platform.
- Make deletion mechanics transparent, including the interaction between active systems and backups.
Retention schedule
- Active workspace content. Retained for the life of the customer's subscription and up to one year afterward, subject to the applicable agreement and legal obligations.
- Account and billing records. Retained for the periods required by tax, accounting, and financial-records law in the applicable jurisdictions.
- Support communications. Retained while an open matter is active and for a limited window after resolution to support product improvement and dispute handling.
- Application activity logs. Retained for a limited operational window sufficient for security and support purposes.
- Marketing website telemetry. Marketing analytics are not active on the marketing site at this time.
Deletion mechanics
When a workspace administrator requests permanent deletion, or when a data-subject deletion request is approved, records approved for deletion are removed from active production systems as promptly as reasonably possible. Deletion of records from active systems and expiration of the same records from backups may occur on different schedules; see below.
Backups
SalesOps relies on managed database backups with an approximate one-month retention window. Records that have been deleted from active systems continue to exist inside backups until those backups expire on their normal schedule.
Legal holds
Where SalesOps is legally required to preserve information (for example, in response to a valid legal preservation order), we will suspend routine deletion for the relevant records until the hold is lifted.
